Most group trips in Texas get locked in with a deposit, not the full amount up front. If you have not booked a charter bus before, here is how the money side normally works and what to ask before you sign anything.
What the deposit actually does
A deposit holds your date. Until it clears, that bus and that driver are still available to anyone else who calls. On busy DFW weekends the same Saturday gets asked about several times. Prom season, Cowboys home games at AT and T Stadium, spring and fall wedding dates. The deposit is what takes your date off the board.
Typical deposit amounts in Texas
Most charter companies ask for somewhere between 20 and 50 percent up front. The exact number moves with a few things:
- How far out you are booking. A trip six months away often takes a smaller hold than a trip two weeks away.
- Trip length. A four hour local shuttle is treated differently than a three day run out of state.
- Peak dates. Holiday weekends and big event dates usually carry a higher deposit.
Short notice bookings sometimes require payment in full. If you are calling on a Thursday for a Saturday, expect that.
When the balance is due
Final payment is commonly due 14 to 30 days before the trip. Ask for the exact date in writing and put it on your calendar. A missed balance date can release your reservation even though the deposit was already paid. This trips up wedding coordinators and church group leaders more than anyone, because the booking happened months earlier and nobody was watching the date.
Cancellation windows
This is the part people skip and later regret. Deposits are often nonrefundable inside a set window, and the window tightens as your date gets closer. A normal policy looks roughly like this:
- Cancel well in advance, deposit refunded or held as credit
- Cancel inside 30 days, deposit retained
- Cancel inside 7 days, a larger portion retained
Get the real numbers for your booking before you pay. Vague answers here are a warning sign.
Five questions to ask before you pay
- What is the deposit amount and is it refundable?
- What exact date is the balance due?
- What happens if we cancel, and what are the cutoffs?
- Are driver gratuity, tolls, parking, and fuel included in the quote or added later?
- Can I get all of that in writing before I pay?
